Job Description

The Executive Secretary is the Chief Administrator of the Academy and is responsible for managing its organizational functions.

 

Hours

Hours vary month-to-month from 25 to 40. The time surrounding our annual meeting, which is usually held in late winter or spring, requires additional time. 

 

Primary Responsibilities:

1. Annual Meeting oversight and management

  • Prepare the Council’s and Membership Business Meeting Agendas
  • Assist in negotiating agreements with the venue services/vendors
  • Maintain a beneficial relationship with the venue, ensuring our needs and interests are being protected.
  • Prepare the annual meeting brochure.
  • Preparation of attendee badges, ribbons, check-in desk, speaker signs.
  • Remain at the desk at appropriate times for member and guest questions.
  • Situational awareness during the meeting to confirm we are getting what we paid for.
  • Prepare the Council’s and Committee's Post-Meeting Agendas
  • Print Certificates, recognition awards and have IAE Fellows pins for new inductees.
  • Ensure the induction ceremony has continuity and the proper gravitas

2. Teleconferences

  • Record and prepare the minutes of the monthly Council and Scientific Program Committee meetings.
  • Act as Parliamentarian at IAE Council Teleconferences
  • Help the President/Chairs formulate their agendas for the teleconference

3. Academy asset oversight and management

  • Work with the Secretary/Treasurer for financial oversight.
  • Maintain the records of investment and bank accounts
  • Assist them in keeping expenses to a manageable level for our organization
  • Review all billing for correctness.
  • Work with the IAE Committees to ensure a continuity of competency from year to year

4. Support and orientation for incoming officers.

5. Assist in the creation of content for the website.

6. Maintain ADA CERP certification.

7. Documenting dues payments, guest registrations, and attendance lists for meetings.

8. Other such duties and responsibilities as delegated from time to time by the Council.
